Free webcast today will share results of survey by leading IT market
research and advisory firm on the role of records management in
SharePoint 2010 implementations
BOSTON--(BUSINESS WIRE)--Jul. 26, 2012--
A recent survey of IT professionals migrating to Microsoft SharePoint
2010 reveals that only one in three actively involved their
organization’s records managers during implementation, despite stated
goals of using the software to solve records management challenges.
Conducted by IDC and sponsored by information company Iron
Mountain Incorporated (NYSE: IRM), the survey will be the focus of a
free webcast today headlined by IDC’s
Vivian
Tero
, program director for IDC's Governance, Risk & Compliance (GRC)
Infrastructure service.
Principal among the findings was that many organizations fail to apply
basic records management practices when adopting SharePoint 2010,
missing an opportunity to clean out records inventories and compromising
their ability to achieve goals for employee collaboration and
productivity. For example, 63 percent of respondents failed to dispose
of outdated and inactive records from legacy SharePoint sites and other
existing data repositories, choosing instead to migrate data into their
new SharePoint 2010 application or keep it and maintain multiple
applications.
“With this survey, we wanted to see if companies were making the most of
their SharePoint installations by rightly seeing it as an opportunity to
improve their records management programs,” said

invest enormous time and resources into these implementations, and we
wanted to know if they were fully leveraging their investment by
destroying inactive records, tagging digital files as records, updating
records policies and leveraging new records management features in
SharePoint 2010. We were pleasantly surprised to find many companies are
taking advantage of the opportunity, but there is still room for
improvement, particularly as it relates to adjusting policies to account
for new forms of content from social media, blogs and wikis.”
The survey of 100 IT professionals sought to gauge the adoption of
records management practices as well as the benefits from incorporating
records management practices in an organization’s SharePoint 2010
implementation. Key findings of the survey include:

Eighty two percent of respondents reported their companies are in the
early stages of implementing or migrating to SharePoint 2010;

When asked about top goals for implementing SharePoint 2010, survey
respondents gave improving internal collaboration, knowledge
management and employee productivity as their chief aims;

Of those with SharePoint 2010 implementations underway, 57 percent
have steering committees to govern those projects, helping to align
these initiatives with broader operational, compliance and risk
management objectives;

Forty six percent indicated that their records management policies
don’t account for content from new applications like social media,
blogs and wikis, leaving them vulnerable to future legal, security and
regulatory liabilities.
